When you need to verify a user’s access permissions (including account status, study, and site access), follow the steps below to confirm their role and privileges within the Honey Platform.

Step 1: Search for the user in settings
Go to Settings → Users.
In the search bar, enter the user’s name or email address.
Confirm that the account exists and check the Status column:
Active – User can log in.
Pending Invitation – User has been invited but has not yet activated their account.
Expired – The user’s invitation has expired and must be resent.
Blocked – User has been deactivated and cannot log in.
Step 2: Review the user’s role
Each user is assigned a single role that determines what they can view and do in the platform.
Roles without PII access (no patient data):
Sponsor Admin – Similar to the Trialbee Study Manager, but without access to PII.
Sponsor User – Access to Insights and Candidate overviews.
Referrer – View-only access to candidates referred by their organization.
Trialbee Analyst – Access to Insights and reports.
Roles with PII access (can view patient data):
Phone Assessment User – Performs secondary (phone) assessments.
Site User – Performs site-level assessments.
Site Investigator – Oversees and is responsible for the study at their site.
Trialbee Study Manager – Configures studies and monitors performance.
Step 3: Check site assignments
In the user list, locate the Site permissions field.
If the user has access to multiple sites, click the “+ more” link to view them all.
Confirm that the user is linked to the correct site(s).
To edit, click the three dots (⋯) on the right → Edit user → update the assigned sites.
Click Save to apply changes.
Tip: A user may belong to multiple sites if they work across several locations.
Step 4: Verify email invitation and activation
If the user hasn’t activated their account (Pending Invitation or Expired):
Click the three dots (⋯) next to the user.
Select Send invitation again.
Ask the user to check their inbox (and spam/junk folders) for the activation email.
Step 5: Document & communicate
After confirming or updating access:
Note the change in your internal tracker or support ticket.
Reply to the requester confirming the user’s current access level, role, and next steps.
