When a new team member needs access to the Honey Platform, you can invite them directly from the Settings → Users area. Their role and site access determine what information they can view and edit within the platform.

Before you begin
Make sure you know:
Which study or site(s) the user should have access to
What role they need (e.g., Site User, Site Investigator, Sponsor User, etc.)
The user’s work email address

Step 1: Go to user settings
Log in to Honey.
Navigate to Settings → Users.
Click the + Invite user button (top-right corner).
Step 2: Enter user information
In the Invite User window, complete the required fields:
First name and Last name
Email address (use their professional email)
Select the Role that matches the user’s responsibilities.
Under Site Permissions, choose the appropriate site(s):
You can select multiple sites if the user works across several locations.
Tip: If you’re unsure which role to assign, contact your Study Lead or Trialbee Support for guidance.
Step 3: Send the invitation
Review the entered information.
Click Send invitation.
The user will receive an activation email from Trialbee.
Status will show as Pending Invitation until they activate their account.
If the invitation expires or is lost, you can resend it at any time (see Step 4 below).
Step 4: Resend or manage invitations
To resend or manage invitations:
Go to Settings → Users.
Find the user whose status is Pending Invitation or Expired.
Click the three dots (⋯) next to their name.
Select Send invitation again.
The user will receive a fresh email link to activate their account.
Step 5: Confirm activation
Once the user accepts the invitation:
Their status changes to Active.
You can confirm this under Settings → Users → Status column.
The user can now log in and access their assigned study and site(s).
Troubleshooting
If the user doesn’t receive the invitation:
Ask them to check spam/junk folders.
Confirm their email address is correct.
If needed, resend the invitation.
If still unsuccessful, contact support@trialbee.com for assistance.
