Overview

This glossary defines the key terms, metrics, and statuses used throughout Honey to track clinical trial recruitment performance. It covers how candidate data, site activity, and marketing efforts are captured and measured, along with explanations of each stage in the candidate journey from initital referral to enrollment or disqualification. Use this as a reference when navigating dashboards, reviewing candidate records or interpreting site and campaign performance. 


Insights

Study Progress

  • P/S/M - The rate of patients referred to site, per site, per month. Calculated using the actual number of candidates referred to site divided by the current number of active sites and the elapsed time of the campaign.


Note: A red thumbs down icon appears when the ratio falls below the Target number set in Honey’s Study settings. Alternatively, if the P/S/M is above the Target rate, a green thumbs up will appear.  If you do not see these Target values, ask Trialbee to set them up for you.


  • Target - The target rate of patients referred to site, per site, per month. Calculated using the target number of candidates referred to site divided by target number of active sites and expected length of the recruitment campaign in months.


Note: The target number of candidates, active site goals, and recruitment durations are set in Honey’s Study settings area. If you do not see these Target values, ask Trialbee to set them up for you.


  • Active Sites – The number of sites in the Active or Paused status which are available to receive referrals.



Note: Paused sites can still receive referrals from a secondary screener, but do not appear in the site list for a patient in the pre-screening widget.


  • Screen Failure Rate - The percentage of candidates disqualified post-consent (ICF completion) with the reason 'screen failure', out of the total candidates who either enrolled or were disqualified post-consent. An example would be as follows: 6 candidates signed their ICF, of which 2 have been enrolled and 1 screen-failed; the screen-fail rate would be 1 out of 3 for a 33% rate.



Note: The red thumbs down icon appears when the screen failure rate falls below the Target number set in Honey’s Study settings. Alternatively, if the screen failure rate is above the target rate, a green thumbs up will appear. If you do not see these Target values, ask Trialbee to set them up for you.



Candidate sources

  • Referrer/Source - Referrers allow you to track the origin of your candidates. Referrers provide concrete correlation to specific recruitment marketing efforts which ultimately measure return on investment (ROI). When a referrer leads to a successful conversion (e.g., secondary screening or enrollment), it directly demonstrates that the tactic not only reached the audience but influenced action, validating both the targeting and messaging strategy.   • Impressions – Only applicable to digital advertising. Counts every time your ad (or piece of content) is shown to someone. Example: If your banner ad appears on a webpage 100 times, that amounts to 100 impressions—even if no one interacts with it. Honey can show impressions for certain channels (Google, Meta, Taboola) and require integration to surface the data; if you would like this data shown please contact Trialbee.


  • Clicks - Only applicable to digital advertising. Counted when someone clicks on your ad or content. Example: If 5 people click on your ad after seeing it 100 times, that’s 5 clicks. Honey can show clicks for certain channels (Google, Meta, Taboola) and require integration to surface the data; if you would like this data shown please contact Trialbee.


  • CTR – Only applicable to digital advertising. Shows the click through rate which is calculated as ((Clicks ÷ Impressions) × 100). This will tell you how often people who see your content click on it.


  • S-A Opened - The number of times the online questionnaire was opened.


  • S-A Completed Each time the online questionnaire was answered in-full, and a result was determined (passed or disqualified).


  • Referred to Site - The number of times the secondary assessment was passed, and the candidate was sent to a study site.


  • Consented - The number of times candidates, per referrer, marked as consented by the study site indicating they signed their ICF.


  • Enrolled - The number of candidates, per referrer, that have enrolled or randomized into the study as noted by the site updating the status.


  • Cost - Allows you to enter the total cost for the ad campaign then displays the amount spent per referral to site and enrollment. This value is not reflected in reporting or other users' dashboards.

 



Funnel Performance

  • Self-Assessment Opened - The number of times the online questionnaire was opened.
  • Self-Assessment Completed - Each time the online questionnaire was answered in-full, and a result was determined (passed or disqualified).
  • Referred to Site - The secondary assessment was passed, and the candidate was sent to a study site.
  • Consented - The candidate was marked as consented by the study site indicating they signed their ICF.
  • Enrolled - The candidate has enrolled or randomized into the study as noted by the site updating the status.

  • Abandoned Questionnaire – The candidate completed some but not all of the questions before leaving the page.
  • Ineligible – The candidate completed the questionnaire in-full but did not meet the criteria to be eligible for participation.
  • Eligible – Incomplete – The candidate completed the questionnaire and met the criteria, but chose not to enter their contact details.

 

My candidates & sites

  • Candidates in process - The number of candidates in Honey per candidate status, excluding randomized candidates.
  • Days in process – The median time in days candidates have spent in each candidate status.
  • Site performance score – Site by site score calculated from the number of active site users, median time to candidate contact, time to consent, and time to enrolling.
  • Candidates per site – The number of candidates in each candidate status per site.

Candidate assessment


  • In phone assessment
    • New – The candidate record is newly added to Honey and has not been viewed or contacted.
    • Viewed – The candidate record was viewed in Honey through the candidate assessment tab but has not yet been contacted by a phone assessment user.
    • Contacted – A Honey user sent an SMS message or email through Honey, revealed the phone number or email of a candidate, or made a video or voice call directly to the candidate via Honey.
  • In site assessment The secondary assessment was passed, and the candidate was sent to a study site.
    • New –  The candidate record has been newly referred to a site in Honey and has not been viewed or contacted.
    • Viewed – The candidate record was viewed in Honey through the candidate assessment tab but has not yet been contacted by the site.
    • Contacted – A Honey user sent an SMS message or email through Honey, revealed the phone number or email of a candidate, or made a video or voice call directly to the candidate via Honey.
    • Visit Scheduled – The candidate has made an appointment with the site and the site user has logged it in Honey
  • Consented - The candidate was marked as consented by the study site indicating they signed their ICF.
    • Pending screening - Candidate has consented and is awaiting screening by the site.
    • Screening started - Candidate has consented and site screening is ongoing.
  • Enrolled - The candidate has enrolled or randomized into the study as noted by the site updating the status.
  • Transferred – The candidate was assigned to a study from a program.
  • DQ Phone assessment & DQ Site assessment – The candidate was marked as disqualified by a Honey user during phone assessment or site assessment for the following reasons:
    • Ineligible – Did not meet the requirements to participate in the study.
    • Not interested – The candidate has changed their mind on participating in the study.
    • Unresponsive – The candidate was not reached after multiple outreach attempts.
    • No nearby site – The candidate was not willing to travel to the closest available site.
    • Duplicated candidate – The candidate record was a duplicate of another and one should be removed.
    • Other – The candidate was disqualified for another reason not listed in the dropdown. 
  • DQ Screen fail
    • Screen failure – The candidate was deemed ineligible at site screening  
    • Not interested - The candidate has changed their mind on participating in the study during site screening.
    • Unresponsive - The candidate was not reached after multiple outreach attempts.
    • No nearby site - The candidate was not willing to travel to the closest available site.
    • Other - The candidate was disqualified for another reason not listed in the dropdown. 
  • DQ Enrolled – The candidate was enrolled, then later screen failed.
  • Alerts – Candidates that have an overdue status alert

Candidate table

  • Referrers (reference) – Displays the sourcing of a candidate if a referrer has been captured during the referral process.
  • Phone call reminder – This column displays any reminders phone assessment users or site users have set on a candidate to remind them to call the candidate at the requested time.  
  • Alerts (reference) – Displays any overdue alerts for a candidate (e.g. a candidate has been in site assessment for too long without an update).
  • Candidate tags – Displays any tags that have been assigned to a candidate record.
  • Subject ID – The candidate’s assigned subject ID that may be entered by the site post consent.
  • Locale – The language and country of the self-assessment submitted by the candidate.
  • Preferred contact way – Displays the selection of preferred contact way the candidate selected on the self-assessment if that field is enabled.
  • Preferred contact time – Displays the selection of preferred contact time the candidate selected on the self-assessment if that field is enabled.
  • Candidate created – The date the candidate record was created in Honey either by successful submission of the self-assessment or being added by a site.
  • UTM Source – Identifies the platform or channel (e.g., Facebook, Google, email, Omnichannel Parter) that brought a potential participant to the online questionnaire.
  • UTM Medium –Specifies the type of marketing tactic used (e.g., paid social, email, display ad) to reach the candidate.
  • UTM Campaign –Labels the specific recruitment effort or study initiative being measured (e.g., epilepsy_study_spring2025).
  • UTM Term – Captures keyword-level data from paid search campaigns to understand which search terms drove potential participants.
  • UTM Content – Differentiates between variations of an ad or message (e.g., image A vs. image B) to test and optimize recruitment creatives.
