Creating and exporting reports (Sponsors & CROs)

Purpose: Learn how to export recruitment and site performance data from the platform using two flexible options: the Candidate Report from the Insights module and the Candidate Table in the Candidates module.


The Honey platform allows you to quickly export and share recruitment progress, site performance, and referral flow. Whether you're presenting at a weekly study meeting or identifying sites needing support, Trialbee gives you flexible tools to build and export the data you need.

Option 1: Exporting the Candidate Report from Insights 

The Candidate Report is a downloadable Excel file available in the Insights module. It provides a comprehensive view of referral progress across the entire study.


What’s Included?

The report contains rich, structured data across three main categories:

Date Receiving StatusTimestamp of latest status change, Referrer, Pending flags, Outcome flags (Consented, Randomized, Rejected, etc.), and counts for outbound actions (SMS, email, calls)
Candidate at SiteContact timestamps, duration of phone calls, staff comments, and last activity by site staff (including user + timestamp)


How to Export:

  1. Go to the Insights module.

  2. Look for the “Candidate Report” button

  3. Open the file in Excel for further analysis

  • Study-wide metrics and documentation


Option 2: Exporting from the Candidates Module

Need a faster or more tailored export? Use the Candidate Table in the Candidates module to create a custom view and copy it directly to your clipboard.


Customize with “Edit Columns”

  1. Go to the Candidates module.

  2. Click “Edit Columns” (top-right of the table).

  3. Select/deselect the columns you need (e.g., referral status, site, locale, contact attempts).

  4. Drag columns to re-order as needed.


How to Export:

  • Once your table is ready, use the "Export" button.

  • Paste the content into Excel, Google Sheets, or another spreadsheet tool


Best For:

  • Quick site-specific exports

  • Ad-hoc analysis or issue tracking

  • Building charts or graphs from filtered data


Tips & Best Practices

  • Use filters in the candidate module export (option 2) before exporting to focus on a specific time period, referrer, or site.
  • Standardize your exports weekly or monthly to track changes over time.
  • Consider pairing exports from both modules: Candidate Report for breadth, Candidate Table for precision.
